Memorial Day Kick Off!

The pool is open! What a lot of work this week-and unforeseen adventures such as a cracked filter and issues with the pump. Big thanks to those special people who worked past darkness on those problems. Also the filling with the fire hydrant via the fire department was a great way to get the water in (thanks Christina Kish for overseeing this!)-but we were left with some sediment-greenish tint due to the hydrant. That's okay...the water was tested safe enough for the kids to get in and swim by early afternoon-and that's what matters. The pool was safe and the guards watched our community's children. No injuries (well okay maybe one scrape needing a band aid) and lots of smiles! That's a day of success!

Until the pool was opened, the kids had a great time playing on the three swing sets, playing cornhole and in the two sprinklers that were set up. The pool area was decorated so perfectly for Memorial Day! (Thanks committee!) Red, white and blue was all around. The DJ brought us lots of fun songs and not without the help of some great karaoke & fun line dancing from our children!


We had corn hole champs and good food. Delicious grilled hot dogs and tasty treats and friendly smiles from the concession stand. Lots of jumps from the diving board, extra fun in the sun....what a day!

We can't forget how we kicked off this day. The 1st annual Bike Parade was a big hit as well. The children (and a few grown ups too!) were all led up and down a few streets of our subdivision by a very friendly man driving a big red fire truck. Thanks Barboursville Fire Department! We also had winners here-A gold and silver trophy were given to our "best decorated". Without a doubt, all entered had super decorations-so they all got a patriotic flag just for participating.

Kristi Haney plans to contact radio DJ re: season pool pass give away idea for upcoming Memorial Day picnic on Saturday May 29th. This advertises for the pool/community.
Nancy Sigmond made suggestion of 2 single passes give away (with option of purchasing family pass to make up the difference). Kristi Haney made motion. Christina Kish 2nd.

Recap of Pool opening kick-off: Bike Parade 11 a.m., Picnic 12 and Corn Hole 1p. Plans finalized for Saturday for set up/bike parade planning/pool opening plans. Kathy & Kristi will register and collect fees for bike participants. The Musics will vote on the winner and runner up since they have no children participating. Erica & Susan will organize corn hole. Table set ups 10:30 a.m. by Susan Swanson and Tina Hendry. A call was placed to Randy Childers/Paul Hockenberry (recommended by Herschel Marshall) to request fire truck to lead the parade. Jim Smith will hedge the children in from the rear with convertible vehicle. Kathy has 2 trophies for the bike winners and Lisa has 3 trophies for Cornhole Tournament. 100 4x6 American flags were donated by Jim/Jane Smith to give to each parade participate. Kristi Haney already distibuted flyers to Davis Creek Elementary & she is putting up 8 signs in the area for advertisement. Jim McSweeney also made a call and had it placed in the Herald Dispatch (free!)

Discussions made and all in agreement that the officers on the board do not make any decisions without consultation of 13 board members total. Unless decision is imperative related to time or less than $75 spending, all major decision making must involve the 13 member board (or those that can attend at a meeting). Email communications & blog updating continue to be first line of running ideas, calling meetings or simply communicating things that have or need to be done. Everyone was in agreement that all board members have the best intentions and trust regarding the pool but that it is important that we follow to the upmost business-like manner to run a trustworthy and reputable business for our community.

Pool filling plans to occur Wednesday May 26th, 2010, 4p-12a with the assistance of the Fire Department utilizing the fire hydrant. Discussions made on the best angle and set up and closings of some of Bartow Drive to make allow this to occur.

Paint scraping, painting, 2 additional swingsets, pool light repair and installation, drain covers, pool repairs galore, bathroom/concession stand cleaning, and more!

So much has been done and is still being done-working hard on your neighborhood pool. The above is just a glimpse of some of the action. It takes many to make it all come together...please consider donating your time, money or energies at your local pool to bring in 2010! If you don't have time or aren't able for physical duties..theres plenty behind the scenes...making a phonecall, running an errand, making a sign, passing out advertisements, working in the concession stand...

memorial day weekend events

Memorial Day Weekend for Guyan Estates Subdivision

******You do not have to live in our community to participate in the following activities. Come and join us for some fun, food, and fellowship!!


Bike Parade - Sat May 29 at 11a.m. The parade will start at pool, go out Meacham Dr. to Carper Carper Lane and back to Bartow to the pool. This is approx 1/2 to 3/4 mile and avoids the hill. Decorate bike, wheelchair, big wheel, tricycle, lawnmower, ripstick, or whatever but you have to have it decorated to have a chance to win. There will be a police officer as our grand marshall. Trophy to be given out to winning participant. There will be a 5 dollar entry fee. Come a little early to get parked and in line for parade so that we can start at 11 sharp. There will be parking at the community pool for those who do not live in Guyan Estates.

Community covered dish picnic - Sat May 29 at noon. Pool will provide hot dogs. Bring your favorite covered dish and soda.

Cornhole Tournament at 1p.m. $5 entry fee for singles and $10 entry fee for doubles. Trophy and bragging rights to winner.

Rest of weekend Free Swim. Memorial day was reserved for family commitments.

The following is an email sent from Christina Kish:

I spoke with someone from the water company today who put me in contact
w/someone local. That second someone said they would allow us to tap in
to the hydrant by the pool to fill it up! They said they would just bill us
for the amount used on our regular bill. They said we'd need to find the
hoses to use to run from the hydrant to the pool. So, I called Barboursville Fire
Dept and they agreed to help us with it! They're going to assign the
project to someone at a meeting this evening. They will call me back tonight or
first thing tomorrow. The water company said they'd need at least 24 hours notice to have the hydrant turned on for us. They'd prefer to have 48 though.

Just wanted to update everyone of the progress of the pool. The scraping is finished and the painter should be at the pool today, May 20th around 3 or 4 to start the painting.

Treasury Report

After much negotiation of penalties and various discussion, President Alecia Adkins paid the tax debts today. Total paid $2,227.54.

She also made a deposit at Pea Ridge PSD. Amount paid $73.00

P.S. Thanks to Joan Rohde's grandson who sold sodas at the May 1st garage sale and earned the pool $6.00. She's right, "Every little bit helps! Let's keep the momentum going!"

Directors Meeting Minutes

Susan brought some people from the YMCA up to our community pool to look it over & give us some advice, tips and so forth on it. They said the pool was in good shape for being as old as it is!

OLD DEBT

Lisa had good news to report on the back taxes. The State waived the penalties and the total balance due has now been reduced from $2890 to $2227! Once paid, the Tax Department will release all liens they have against the Swim Club. Lisa has a meeting scheduled with them for Monday, May 17, 2010. A motion was made to pay off the taxes using a check or cashier’s check at that time. Motion seconded. Vote passed!

Chris Chiles also had good news. The chemical supplier bill from last year, which was as high as $2800, has been reduced as well. The balance due to them is now a firm $1800. However, it must be paid by June 1, 2010. A motion was made to pay off that debt by June 1st. Motion seconded. Vote passed!

NEW EXPENSES

Lisa said there is one more year of taxes to file. The Swim Club may owe some additional money once that happens.

A payment of $180 is due on the insurance on June 3rd.

Lisa is going to Pea Ridge PSD to sign up for sewer service for the pool & building on Monday. A deposit is required. She thinks it will be about $80.

The people from the YMCA gave Susan the name of the company they use for pool paint. Early estimates from other companies came in at about $50 per gallon for the paint we need. It turns out the paint the YMCA uses is only $35 a gallon! The Swim Club already has 8 gallons of paint for the pool. Another 7 (or so) gallons are needed, making the cost of painting the pool approximately $350. A motion was made to pay up to $450 for the additional paint. Motion seconded. Vote passed! The pool WILL be painted before it opens this summer!

There are two lights in the pool. One is burned out. The other is broken. We have a replacement light for the burned out one already. There is a kit available to replace the broken one. It costs about $250. There was some discussion that the broken one may just need a gasket replaced, which would be much cheaper! We also talked about possibly taking the lights out of the pool, something the YMCA did years ago, due to the potentially high cost of replacing the broken one. However, there has to be light in/on the pool when it is being used near or after dark to ensure the bottom of the pool can be seen. So, a motion was made to pay up to $275 to fix the broken light in the pool. Motion seconded. Vote passed!

The drain cover on the pool needs to be replaced. A motion was made to spend up to $150 on a new cover. Motion seconded. Vote passed!

Lisa’s husband (and brother-in-law, I think!) have been working on repairing the diving board. It still needs some more stuff done to it though. Estimated cost for the remaining work is $75. This includes replacing some nuts, bolts and screws, as well as sanding & painting the support plate. A motion was made to spend up to $75 on those repairs. Motion seconded. Vote passed!

Chris Chiles recommended that we earmark $300-$400 for any repairs the pumps may need once they are up and running after the pool is filled.

OTHER STUFF

The pool needs to be power-washed and scraped before it is painted. Lisa said we were going to have a work party this Saturday and Sunday to get that done!

We have received about 16 pool pass applications so far.

Lisa is creating a calendar for people to sign up to volunteer to work the concession stand.

There were no leaks in the pool last year!

Lisa’s son took care of the issues w/the blocks and dirt in the pump house!

The health department requires us to have a phone. We’re looking into all available options on getting one at the pool.

We talked about Swim Club activities, like the cornhole tournament, the bike parade, Memorial Day Weekend festivities and so forth. Lisa is going to call Erica to ask her to be in charge of the activities committee.

Some discussion of possible food items for the concession stand this year.

Discussed Workers Comp insurance. Brickstreet is the only company who can do it for us and they won’t give a quote because they have already given one for the Swim Club. No one seems to know who called and got it though!

Lisa gave Christina the list of daycares to call and invite to use the pool this summer.

Lisa will schedule another meeting w/Steve Hoggsett to discuss Workers Comp issues, employee versus independent contractor issues and so forth.

Hot dog sale profits $2042!! WAY TO GO!!!!

Hot Dog Sale!

Saturday May 1st was community rummage Sale day. Many neighbors came together and worked hard at selling hot dogs (& other baked goods) to raise money for the pool. Thanks to lots of hard work and donations by businesses and people-100% of the sale was profit! (except for a run out for more hot dogs and buns to get through the sale!)

Approximate profits for the sale=$2000!

Thank you to the community for letting the pool sell the food to the customers. Thank you for eating hot dogs. Thank you God for the sunshine instead of rain. Thank you to Dickson Lawn Care for preparing the grounds. Thank you to all of the hard work behind the sale...generating and passing out flyers, lots of email collaboration, baking goods, making sauce, and etc.
